Position: Office Manager & Client Coordinator

Responsibilities

To provide a fast, easy, tailored experience for all new clients to our mental health practice. To make the client feel hope, relief, and excitement to get started. To ensure the client is accurately set up in our system and intake paperwork is completed. To support clients with their questions throughout their journey at ALL IN. Primary Duties

Manage inquiries from the business phone and email.

Assist new clients with placement with clinician.

Support Leadership and Clinical Team with Electronic Medical Records system.

Assist Nurse Practitioner with scheduling.

Provide answers to clients regarding billing and payment questions.

Assist Leadership with general projects (including billing services, team functions, and general office management).

Attend weekly team meeting (required) and team social events (when possible).

Light housekeeping (including lifting up to 40lbs, cleaning, dusting, vacuuming, stocking, and removing trash).

Report directly to Leadership Team.

Requirements

Empathy and emotional intelligence

Knowledge of Microsoft Word, Excel or Google equivalent.

Strong planning and organizational skills

Ability to work under pressure

Ability to work in a collaborative team environment

Detail-oriented (“Type A” a plus)

Problem solving and decision-making skills

Exceptional communication skills, oral and written (We want you to express your personality with clients and the team. We are looking for a team member who will engage with clients and co-workers. We want someone who’s eager to be part of an energetic team that enjoys what we do!)

Work Location
Minnetonka/Edina. The position may be located in either one or both, depending on your preference. May also be at-home for some days per week after trial period.

Job Type: Full-time

Salary: $40 – $45k per year, plus bonus

Schedule:

• Monday to Friday, 9am to 5:30pm

Education:

• High school or equivalent (Required)
• Some college or more (Preferred)

Experience:

• Administrative Experience: 2 years (Preferred)
• Sales Experience a major plus.
• Knowledge of or experience with mental health treatment (Preferred)
